How to Take a Phone Message in English

The person they want is not available? Learn five polite English phrases to take a message and help the caller professionally.

When you answer a phone call for someone who is busy or out of the office, you need to take a message. Doing this in English is easy with the right phrases. In this video, you will learn five expressions receptionists and colleagues use every day. Start by offering help: 'May I take a message for her?' You can change 'her' to 'him' or 'them' depending on the person. Another option is 'Would you like to leave a message?' This lets the caller decide. Once you have the details, reassure them with 'I can pass that along as soon as possible.' The phrasal verb 'pass along' means to give information to another person. You can also say 'I'll make sure they get your message right away', which sounds confident and reliable. Finish the call with 'Thank you, I'll let them know you called.' When taking a message, always write down the caller's name, phone number and the reason for the call, then read it back to confirm. These phrases are useful in offices, family homes and shared workplaces. Watch the video, repeat each line, and practice with a friend so you can take any phone message in English calmly and professionally.
